Local Number (Dedicated)
Use this dedicated local number for fax or voice. The local number will help you advertise and build brand image in your local market.
Auto Attendant
Auto Attendant (AA) automatically allows callers to reach the user’s extension directly without the intervention of any receptionist.
Dynamic Extensions
Instantly set-up and activate extensions on your number. You can have it pre-set to GTI's Membership Sales, Travel Sales, and Member Services department. Don't forget to add your own!
Operator Extension
You can direct your callers to your operator extension if they remain idle without responding to the Auto Attendant.
The auto attendant will play the welcome greeting twice to prompt the user before forwarding the call to the operator extension. Simply select the extension where all the calls should be routed to. You may also choose to disconnect the call if the caller is unresponsive.
Day and Night Modes
Many companies often use different greetings depending on the time when the call is received. The caller is made aware that the business is closed if he or she calls during non-business hours. Often, normal business hours are stated in the greeting for the caller to know when he or she should call the next day if need persists. You can choose your business-hours and non business-hours greetings. You can even select the working hours (with time zone) and working days of your business.
Direct Forwarding
In case you are a small company and do not wish to use any of the extensive features, you can simply direct all your calls to a local number.
Call-Hunt / Find-Me
Call-Hunt calls all designated numbers simultaneously until the call is accepted. The call is then connected with whoever receives the call first. Call hunt lets you never miss an important call because you can connect it with up to five different numbers - home, work, cell, or maybe your business associate in Hawaii.
Follow-Me
Follow-Me sends an automated message to the receiver of the call, prompting the receiver to press '1' to accept the call. You can have this pre-set so that your pin number is stated when a GTI Membership Sales or Travel Sales Consultant picks-up the phone - ensuring you get the commission for every call directed to GTI.
Call Screening
The Call Screening feature allows you to take complete control over your incoming calls. Yes, you can answer your incoming calls the way that you want! This feature gives you four options/ways to answer your incoming call. You can accept, reject, reply to the call / send a message to the caller, or send the call to Voicemail.Call Screening helps you to save time by keeping unwanted callers away.
Auto Location Lookup
It is a common sales practice to know your customer before you call them. Similarly, its often very important to know where the customer is calling from. Depending on the location of the caller, the call can be forwarded to the right representative / department / extension. Virtual Receptionist will automatically lookup the location and state from the caller-id. This information can then be forwarded as the caller’s name to your local number designated in the Follow-Me or Call-Hunt.
Inbound Fax
Along with your toll-free number is a free dedicated local phone number. Any fax to the dedicated number is emailed automatically in .pdf format. It's a simple and easy way to receive faxes.
Outbound Fax
You can now send faxes from your toll-free number by uploading the files from your PC to the Online Control Panel. This obviates the need of a different fax machine. Faxes can be sent to any number in the US or Canada. The status of each job will be emailed to you.
Fax on Demand
Imagine your customers asking for a brochure, quote, or daily specials newsletter while you are on the road. With Virtual Receptionist, you can simply ask your clients to call your toll-free number and follow the automated prompts. Within a few minutes, the system will automatically fax back the requested documents to the fax back number they indicate.
Dial-by-Name Directory
Have you ever reached a person directly just by entering the first three letters of the his or her first name? With the Dial-by-Name Directory, if your caller tries to reach an employee ‘John Smith’, he can call your Toll-free Number, and when prompted enter the first three letters of the first or last name of the person he wishes to speak. The call will then be forwarded directly to the extension without any operator assistance.
